Open a change order, RFI, or subcontractor update. Click "Folder Suggest" in the Outlook ribbon to launch the task pane.

The add-in scans your entire folder tree and ranks matches by content similarity. Even a subfolder five levels deep appears at the top when it fits.

Move with one click

Hit "Move to Selected" and the email lands in the right project folder. An Undo button stays visible if you need to reverse the action.

Questions from project teams

How does it handle folder trees that are 5+ levels deep?
Folder Suggest reads your entire folder tree, including deeply nested subfolders. It compares the current email against messages already stored in each folder. A subfolder buried under five parent folders will still appear at the top of the suggestions list when it is the best content match.
Can I use it across multiple projects at the same time?
Yes. The add-in scores all folders in your mailbox, not just one project at a time. If you manage 15 projects with separate folder hierarchies, each suggestion considers every relevant subfolder across all of them.
Can our IT department deploy it to the whole team?
Yes. Your IT team can push Folder Suggest to all project staff through the Microsoft 365 Admin Center. They can either search the Marketplace catalogue or upload the manifest file directly. The install guide covers both paths step by step.
Is it free?

What if it suggests the wrong folder?
You will see up to seven alternatives below the top match, each with a confidence score. Pick a different one and click Move. If you have already moved the email, the Undo button reverses the action immediately.
